Wireless Presentation Systems: Convenience or Another IT Headache?

A wireless presentation system is a convenience when it is chosen for the way a room is used and set up by IT on the corporate network; it becomes another IT headache when it is bought as a gadget, left on its own Wi-Fi with a shared password, and expected to run video calls it was never designed for. The first decision is whether you need presentation only (share a screen) or wireless conferencing (run the laptop's Teams or Zoom call through the room camera and speakers). In the Barco ClickShare range on our store, the ClickShare C-5 and C-10 are presentation systems, the CX-20, CX-30 and CX-50 are wireless conferencing systems, and the ClickShare Bar Core and Bar Pro add a camera, microphones and speakers. The Yealink RoomCast E2 and WPP30 pod are the lower-cost presentation alternative.

Presentation-only or wireless conferencing: what is the real difference?

A presentation system such as the C-5 or C-10 puts a laptop's screen on the room display. Barco's C-10 page lists room peripheral support as "No", so it does not route the room's camera or microphones to the laptop. A wireless conferencing system (the CX range) does: Barco describes the CX-20 as letting users "run video meetings from your laptop" using their preferred platform, with ClickShare connecting to room cameras, microphones, speakers and displays. That is BYOM (bring your own meeting) without a USB cable.

The laptop does the work. Barco lists minimum requirements for a smooth Microsoft Teams or Zoom experience on the CX range: an Intel Core i3 or AMD Ryzen 5 processor (Apple M1 on Mac) and 8 GB RAM. Test with the oldest laptop in your fleet before rolling out.

Which ClickShare for which room?

  • Huddle space, sharing only: C-5 Gen-2. One source, app or native casting, no Button in the box.
  • Medium or large room, sharing only, two presenters: C-10 with one or two Buttons; it shows two sources side by side.
  • Small room that already has a USB camera and speakerphone: CX-20 (one source) or CX-30 (two sources, two Buttons).
  • Boardroom with two displays: CX-50 Gen-2, which Barco positions for high-impact rooms, with people and content on separate screens.
  • Small room with no camera yet: Bar Core or Bar Pro, which build in the camera, six beamforming microphones with 4 m pickup and stereo speakers. Bar Pro adds dual screen and AI speaker framing.

Our S$500 vs S$5,000 video conferencing setup comparison sets the Bar Pro against cheaper USB bars, and the full range is in the Barco ClickShare wireless conferencing and ClickShare wireless presentation collections.

Yealink RoomCast E2 and WPP30: a lower-cost alternative

The Yealink RoomCast E2 (S$785) is a presentation system that Yealink specifies with 4K output, a four-way split showing up to four devices at once, AES 256-bit encryption, a dual Wi-Fi design, PoE or DC power on one network cable, and central management through Yealink Management Cloud Service (YMCS). Yealink says it also supports its USB video bars, cameras and microphones for lightweight deployments, but its page does not state that a laptop can use the room camera wirelessly, so treat it as presentation-first. The Yealink WPP30 (S$515) is a USB-C pod with up to 4K/30 streaming, Wi-Fi 6 with 2x2 MIMO and no driver to install; Yealink lists support for up to four streams and touch-back control on interactive displays. Our Yealink BYOD kits guide covers the wired hubs (BYOD-BOX, VCH51 Pro, MShare) that solve the same problem with a cable.

Is a wireless presentation system a security risk?

It depends on configuration. On every ClickShare model above, Barco lists two modes: WPA2-PSK in standalone mode, where the base unit runs its own Wi-Fi with a shared key, or WPA2-PSK or IEEE 802.1X using the ClickShare Button in network integration mode. The CX-50 Gen-2 adds wired 802.1X authentication (EAP-TLS, EAP-TTLS or PEAP) and Barco describes it as ANSSI CSPN security certified. At the company level, Barco's August 2026 ClickShare security compliance guide lists ISO/IEC 27001:2022, ISO/IEC 27017, ISO/IEC 27018 and ISO 9001 certifications and administrator-selectable security levels, while noting that certification scope can vary and should be verified for the specific entity or service. Yealink lists AES 256-bit encryption for RoomCast E2.

The practical points for IT teams:

  • Standalone mode is simple but weaker. A shared Wi-Fi key that is written on the wall is not access control. Network integration with 802.1X ties the device to your corporate authentication.
  • Each base unit is another radio. The ClickShare units operate on 2.4 GHz and 5 GHz (DFS bands where permitted), so include them in Wi-Fi channel planning, especially on floors with many rooms.
  • Native casting needs discovery. AirPlay, Google Cast and Miracast are convenient for guests, but discovery across separate guest and corporate VLANs usually needs network configuration; decide which protocols to enable rather than leaving all of them on.
  • Firmware and fleet management. ClickShare is managed through Barco's XMS Cloud platform; RoomCast E2 through YMCS. Budget time to enrol devices and keep firmware current.

Guest access: Button, app or native casting?

For visitors, the Button is the least friction: plug it into USB-C, press, share. The catch is physical. Buttons get carried out of rooms, and the C-5 Gen-2 ships without one. Spare ClickShare Button Gen 4 USB-C units are listed at S$386.10; confirm compatibility with your base unit when ordering. The ClickShare App and native casting avoid lost hardware but depend on the guest's device and the network configuration above. Our post on meeting room mistakes that make your company look unprofessional covers what visitors notice when sharing fails.

When is a wireless presentation system overkill?

If a room runs Microsoft Teams Rooms natively and almost every meeting is internal, content sharing through the Teams client or a wired one-cable hub may be enough; the Yealink Microsoft Teams Rooms guide explains what native rooms include, and our Teams Rooms licence post covers management. A one-person huddle room rarely needs a CX-series base when a USB-C cable to a video bar does the job. Wireless systems earn their cost where visitors, mixed platforms or several presenters are the norm. Plan this before buying: your meeting room needs better planning, not more gadgets, and the SourceIT room configurator maps rooms to systems.

What we see in Singapore deployments

The units that cause support calls are usually standalone-mode boxes added after the room was built, with no one owning firmware or Buttons. The ones that run quietly were planned with the network team, set to network integration mode and enrolled in central management.

Frequently asked questions

What is the difference between ClickShare C-10 and CX-20? The C-10 is a presentation system that shows up to two sources and does not support room peripherals. The CX-20 is a wireless conferencing system that lets a laptop run its video call through the room camera, microphones and speakers, with one source on screen.

Does ClickShare work with Microsoft Teams and Zoom? The CX range runs the Teams or Zoom call from the user's laptop. Barco says the CX-50 Gen-2 can also integrate into a Microsoft Teams Room or Zoom Room.

Is ClickShare secure enough for a corporate network? Barco lists IEEE 802.1X support in network integration mode, wired 802.1X on the CX-50 Gen-2, ANSSI CSPN certification for the CX-50 Gen-2 and ISO/IEC 27001:2022 for its security management. Configure network integration rather than standalone mode.

Does the ClickShare C-5 Gen-2 include a Button? No. Barco lists it as app-based with the Button sold separately.

Is Yealink RoomCast E2 a ClickShare alternative? For presentation, yes: it shows up to four devices with AES 256-bit encryption at S$785. Its page does not describe wireless conferencing through room peripherals.

What laptop do I need for ClickShare wireless conferencing? Barco's minimum for a smooth Teams or Zoom experience is an Intel Core i3 or AMD Ryzen 5 processor, or Apple M1, with 8 GB RAM.
