5 Meeting Room Mistakes That Make Your Company Look Unprofessional

The five meeting room mistakes that make a company look unprofessional on a call are: audio that the far end cannot hear, a camera that shows silhouettes or the tops of heads, ten minutes spent hunting for the right HDMI cable, a meeting that takes several attempts to join, and a display too small for anyone to read. Each has a practical fix; this guide names a real product for each, from the Yealink MeetingBar A40 and Yealink CP965 to the Barco ClickShare C-10, Logitech Tap IP and Samsung QM65C display.

The five mistakes at a glance

1 Laptop or webcam audio for a whole room Far voices fade, echo, aircon hum Room microphones sized to the table Yealink CP965 Teams; Logitech Rally Mic Pod S$899.10; S$570.38
2 Wrong camera angle, window behind people Silhouettes, half the table out of frame Camera at the display, light from the front Yealink MeetingBar A40; Jabra PanaCast 50 Price on request
3 Cable mess and HDMI hunting A late start and "can you see my screen?" Wireless presentation Barco ClickShare C-10; Yealink WPP30 S$1,860.30; S$515.00
4 No one-touch join The meeting starts five minutes late A Teams Rooms or Zoom Rooms system with a touch console Logitech Tap IP; Yealink CTP25 Price on request
5 Display the wrong size for the room Slides nobody can read, tiny faces Size the display to the farthest seat Samsung QM55C / QM65C / QM75C S$1,625.00 / S$2,187.50 / S$3,900.00

Mistake 1: Why does our meeting room sound so bad on calls?

Because the room was furnished for people in it, not for microphones. Glass partitions, stone or laminate tables and bare walls bounce sound back into the mics; Logitech's meeting-space guidance warns against "reflective surfaces such as metal, stone, glass, or similarly hard materials" and suggests acoustic ceiling tiles or hanging panels to cut echo and reverb. Microsoft's Teams Rooms planning guide asks you to check that a room "doesn't have excessive echo or noisy air conditioning" before you deploy anything. The second cause is distance: a laptop microphone cannot reach the far end of an eight-seat table.

The fix: put a purpose-built microphone where the people are. For an audio-only Teams room, the Yealink CP965 Teams conference phone (S$899.10) has a 6 m pickup range, and its optional CPW65 wireless mic adds a further 10 m, per Yealink. In a Logitech Rally room, each Logitech Rally Mic Pod (S$570.38) covers 4.5 m and pods can be daisy-chained along a long table. Your S$50,000 Meeting Room Still Sounds Terrible goes deeper into reverberation, glass walls and ceiling microphones.

Mistake 2: Is the camera making everyone look bad?

Often. Either the camera is in the wrong place (a laptop lid at one end, or high on a side wall), or the light is behind the participants. Logitech's guidance is direct: placing a subject "between the camera and an exterior window or other harsh light source can cause an undesirable silhouette that degrades video quality."

The fix: mount a room camera at the display, facing the table, with light coming from the front, and close the blinds behind the seats. An all-in-one video bar such as the Yealink MeetingBar A40 (price on request; quoted per room configuration) uses two 48 MP cameras with a 120° diagonal field of view and IntelliFocus framing so the whole table is in shot; the Jabra PanaCast 50 is a cross-brand alternative, also price on request. If you are still using a personal webcam in a room, read Stop Buying Expensive Webcams for Your Meeting Rooms, and for a cross-brand view of bars see Yealink vs Poly vs Jabra video bars.

Mistake 3: How do we stop the HDMI cable hunt?

The visitor's laptop has USB-C, the table cable is HDMI, the adapter is missing, and the meeting starts late. Logitech's room guidance also recommends concealing wiring below tables.

The fix: wireless presentation. The Barco ClickShare C-10 with one button (S$1,860.30) shares a laptop with one press of the ClickShare Button, also accepts AirPlay, Google Cast and Miracast, outputs 4K UHD at 30 Hz and lets two people, guests included, share at the same time, according to Barco. For a smaller budget, the Yealink WPP30 wireless presentation pod (S$515.00) pairs with Yealink rooms. Browse the Barco ClickShare wireless presentation collection, and see Wireless Presentation Systems: Convenience or Another IT Headache? for the security and network side.

Mistake 4: Why does it take five minutes to join every meeting?

Because someone has to log in to a laptop, open the invite and pick the right camera and microphone. A meeting room system removes those steps. Microsoft's licensing page lists "Join Teams meetings with 1-touch, proximity, and meeting ID" in both Teams Rooms Basic and Teams Rooms Pro.

The fix: a certified Microsoft Teams Rooms or Zoom Rooms system with a touch console on the table. The Logitech Tap IP touch controller pairs with Logitech Rally bars, and the Yealink CTP25 touch console pairs with the MeetingBar range; both are price on request. Licence choice matters here, which is covered in Microsoft Teams Rooms: Is Your Office Paying for Features Nobody Uses? The Teams Rooms solutions collection lists the certified systems we supply.

Mistake 5: What size display does a meeting room need?

Bigger is not automatically better, but a 43-inch screen at the end of a 12-seat room leaves remote faces tiny and spreadsheets unreadable. The AV industry's standard for this, ANSI/AVIXA V202.01 (often called DISCAS), "determines required display image size and relative viewing positions based on user need". Yealink's own room-design guidance makes the same point: "Display selection should follow viewing distance rather than simply choosing the largest screen available."

The fix: measure from the screen to the farthest chair before you buy. As examples from the store, the Samsung QM55C (S$1,625.00), Samsung QM65C (S$2,187.50) and Samsung QM75C (S$3,900.00) are 4K commercial displays. Our guide to choosing a meeting room display with Samsung covers the sizing in more detail, and Your Meeting Room Doesn't Need More Gadgets. It Needs Better Planning. puts display size into a full room checklist.

Which mistake should we fix first?

Audio, then camera, then everything else: a far end that cannot hear will leave a call. As an illustrative example, an eight-seat room with a window wall and one webcam would get room microphones first, then a video bar on the display wall with blinds fitted, then wireless sharing. Run your own room through the SourceIT room configurator before ordering. Why Everyone Hates Your Office Video Calls covers the desk and open-plan side of the same problem.

Frequently asked questions

What is the most common meeting room mistake? Relying on laptop or webcam audio for a whole room. Microphones built for the table size fix more complaints than any camera upgrade.

How do I stop people looking like silhouettes on video? Do not seat people between the camera and a window or strong light. Close blinds behind the seats and light faces from the camera side.

Do we need wireless presentation if we already have HDMI? Not always, but it removes adapter problems for guests. The Barco ClickShare C-10 also accepts AirPlay, Google Cast and Miracast, so most devices can share without a cable.

Is one-touch join included with Teams Rooms Basic? Yes. Microsoft lists one-touch, proximity and meeting ID join in both Teams Rooms Basic and Teams Rooms Pro.

How big should a meeting room display be? Size it to the farthest seat and the content you show, as the ANSI/AVIXA V202.01 display image size standard describes, not to the wall space available.
