Microsoft Teams Rooms: Is Your Office Paying for Features Nobody Uses?
Microsoft Teams Rooms comes in two licences: Microsoft Teams Rooms Basic, which is free for up to 25 rooms, and Microsoft Teams Rooms Pro, which Microsoft's US site lists at US$40.00 per room per month, paid yearly (checked 23 October 2026). If your rooms have one display, one video bar and no scheduling panels, and you have fewer than 25 of them, Basic covers joining, sharing and whiteboarding. Pro earns its cost when you need dual screens, multi-camera rooms, intelligent audio and video, Teams panels, remote device management, or more than 25 rooms. This guide sets out exactly what each licence includes, according to Microsoft Learn, which Pro features depend on Teams Rooms on Windows, and which hardware from Logitech, Yealink, Neat, MAXHUB and Lenovo fits each room size.
What is the difference between Teams Rooms Basic and Pro?
Microsoft Learn's licensing page lists the features below. Where a licence does not include a feature, Microsoft states that "that feature can't be used on Teams Rooms devices that have been assigned that license."
| Feature (Microsoft Learn wording) | Teams Rooms Basic | Teams Rooms Pro |
|---|---|---|
| Price (Microsoft US list) | Free, certified device required | US$40.00 per room per month, paid yearly |
| Maximum licences | 25 per organisation | Unlimited |

Which Pro features does a typical room actually use?
This is where offices overpay or underpay. Walk through each room and ask four questions. Does it have two front-of-room displays? Dual screen support is Pro only, so a room built with two screens on Basic shows content and people on one. Does it have more than one camera, or a camera with speaker tracking that you want Teams to use? Multi-camera support, panoramic room view and speaker identification are Pro features. Is there a booking panel at the door? Basic cannot license a Teams Panel, so room check-in needs Pro. Does IT want to see a failed microphone before a director does? Peripheral health, remote configuration and custom alerts are Pro.
If the answer to all four is no, the room is a Basic room. A four-seat huddle space with one display and one video bar typically is. A boardroom with two displays, ceiling microphones and a panel outside is a Pro room. Our sibling post 5 Meeting Room Mistakes That Make Your Company Look Unprofessional covers the room problems that no licence fixes, such as backlit cameras and undersized displays.
When is Teams Rooms Pro worth paying for?
Use simple arithmetic rather than a vendor ROI calculator. The figures below are illustrative examples using Microsoft's US list price, not quotes.
Example A, 10 rooms all on Pro: 10 × US$40 × 12 months = US$4,800 a year. Against that you get dual-screen and intelligent audio and video where the hardware supports it, remote management for every room, and Teams Phone Standard, Intune, Entra ID P1 and Defender for Endpoint Plan 2 on each room account. If your IT team would otherwise visit rooms to check why a camera is offline, that time is the main thing Pro saves.
Example B, 30 rooms with mixed needs: Microsoft limits Basic to 25 licences, and any room beyond that needs Pro. If 25 rooms are simple huddle spaces, they can sit on Basic and the other 5 on Pro: 5 × US$40 × 12 = US$2,400 a year. Putting all 30 on Pro would be US$14,400 a year. The difference is the price of the management and meeting features on the 25 simple rooms, which is worth paying only if you will use them.
Microsoft's own planning guidance frames it the same way: Pro is "great for organizations that have 25 or more meeting room devices or who want the most comprehensive meeting and device management experiences," while Basic suits organisations that "only need basic meeting and management functionality."
Does Android or Windows change what Pro is worth?
Yes, because some Pro features only exist on one platform. Microsoft Learn's feature comparison (updated 13 October 2026) lists these as available on Teams Rooms on Windows and not on Teams Rooms on Android: participating in breakout rooms, coordinated meetings, sending multi-camera, spatial audio, people recognition, connected peripheral health monitoring, remote access and Microsoft Defender for Endpoint. Android has a smaller set of its own, including local pan-tilt-zoom controls and meeting controls on touch-enabled front-of-room displays.
So a Pro licence on an Android video bar still unlocks features such as dual screen, front row and Teams panel licensing, but not the Windows-only items. If multi-camera boardrooms or peripheral health monitoring are the reason you are buying Pro, plan those rooms on Windows. Our Teams Rooms Windows vs Android page and the Yealink Microsoft Teams Rooms systems guide explain the hardware split, and best mini PC for Microsoft Teams Rooms covers the Windows compute.
Which Teams Rooms hardware fits each room size?
Microsoft's planning template sizes rooms as focus (2–4 people), small (4–6), medium (6–12) and large (12–16). Hardware ROI comes from matching the system to that size instead of buying the biggest bar for every room. Every system below is price on request and quoted per room configuration; check the specific SKU on Microsoft's certified-device lists before ordering.
Focus and small rooms (Android, usually Basic): the MAXHUB XBar V50 Kit for Teams Rooms on Android or the Yealink MeetingBar A10, each with a single display. Medium rooms: the Logitech Rally Bar + Tap IP bundle or the Neat Bar + Neat Pad bundle; decide Basic or Pro on the four questions above. Large rooms and boardrooms (Windows, usually Pro): the Lenovo ThinkSmart Core + Controller Kit paired with a room camera and microphones, or the MAXHUB XBar W70 Kit for Teams Rooms on Windows. Panels: a Logitech Tap Scheduler or Yealink RoomPanel E2 outside the door needs a Pro licence when used as a Teams panel.

What licensing mistakes cost offices money?
Using a user licence on a room. Microsoft states that enterprise per-user Microsoft 365 suite licences "aren't authorized for use on shared meeting devices." Using a Shared Space licence. Microsoft Teams Shared Space licences are not supported on Teams Rooms devices. Expecting legacy licences to roll over. Teams Rooms Standard and Premium do not convert automatically; on expiry you buy Pro or Basic. One licence for two systems. Basic and Pro are each intended for a single room, and signing in to more than one Teams Rooms system in a room with the same resource account needs Pro. Ignoring the room itself. No licence fixes a room planned badly; Your Meeting Room Doesn't Need More Gadgets. It Needs Better Planning. covers that, and Wireless Presentation Systems: Convenience or Another IT Headache? covers guest sharing alongside Teams Rooms.
