7 IT Products Companies Keep Overpaying For in 2026

Companies overpay for IT when the specification is chosen for the most demanding user instead of the typical one. The seven categories where we most often see that gap are office laptops, docking stations, desk webcams, headsets, monitors, UPS units and Microsoft 365 licences. For each one below we name the right-sized alternative on the SourceIT store, such as the ASUS ExpertBook B1 B1403CVA-NJ1209X, the Targus DOCK419AP USB-C dock, the Yealink UH34 Mono MS Teams headset and the APC Back-UPS 950VA, with the price as listed on 23 Oct 2026. Right-sizing does not mean buying the cheapest item; it means matching the spec to the work, which our post on why cheap IT equipment can be expensive covers from the other side.

The seven overbuys at a glance

# What companies overbuy Who needs it Right-sized alternative Listed price (23 Oct 2026)

Prices are SourceIT's listed figures on 23 Oct 2026; the product page always shows the live price and stock.

1. Are high-end laptop processors wasted on office work?

Often, yes. Email, Microsoft 365, browser-based CRM and Teams calls rarely keep a high-performance H-series chip busy, and a higher-power chip asks more of the battery. The ASUS ExpertBook B1 B1403CVA-NJ1209X (S$1,499, in stock) uses the low-power Intel Core 7 150U with 16GB DDR5, a 512GB PCIe 4.0 SSD and Windows 11 Pro, and its listing states 3 years of local onsite service, next business day, with the battery covered for the same term. Its memory sits in two SO-DIMM slots, so you can buy 16GB now and add more later instead of paying for 32GB on day one.

Step up to the ASUS ExpertBook P3 P3406CCA-LY0040X (S$2,099, Core Ultra 7 255H, Thunderbolt 4) only for users who run large spreadsheet models or many heavy applications at once. Both 14-inch models are covered by the EXPERTBOOK10 code, 10% off until 30 Nov 2026, explained in our ExpertBook B1 vs P3 deal post. For the five checks that matter on any laptop, read Don't Buy a New Laptop Until You Check These 5 Things.

2. Do you need a Thunderbolt dock?

Only if the laptop has Thunderbolt and the desk needs what Thunderbolt adds. The ExpertBook B1 above has two USB 3.2 Gen 2 Type-C ports with display output and power delivery, but no Thunderbolt, so a Thunderbolt dock connected to it runs as a USB-C dock anyway. For a single external monitor, wired LAN and charging, the Targus USB-C 4K HDMI/VGA Docking Station with 100W power delivery at S$101.04 does the job. Keep the Lenovo ThinkPad Thunderbolt 4 Dock (S$360) for Thunderbolt laptops such as the ExpertBook P3 driving multiple screens. Brand docks are listed in the Lenovo docking stations collection.

3. Is a 4K webcam worth it for Teams calls?

For most desk users, no. On a typical call your video is viewed in a small tile, so lighting, framing and a stable connection matter more than sensor resolution. The Logitech Brio 4K at S$280 earns its price for presenters and recorded training. A full HD business webcam such as the Logitech Brio 105 (S$38.81) or the Logitech C920e (S$106.31) covers everyday calls. Meeting rooms are a different problem, covered in better planning beats more gadgets.

4. Do desk-based staff need premium wireless headsets?

A premium Bluetooth headset with active noise cancellation suits people who walk between desks and meeting rooms or sit in a loud open-plan area. A finance or admin user who takes calls at a fixed desk is usually as well served by a wired, Teams-certified USB headset, which never needs charging and is harder to lose. The Yealink UH34 Mono MS Teams wired USB headset is S$55. Our best office headsets for 2026 guide maps headset types to roles.

5. Should every desk get a colour-accurate monitor?

Colour-calibrated panels matter for design, photo and print proofing, not for spreadsheets and email. The ViewSonic VP2456 ColorPro (S$370.80) is Pantone validated and factory pre-calibrated, which is money well spent in a creative team. For general office work the ViewSonic VA2432-H 24" 1080p IPS monitor at S$130 is available to order. If you want to spend more per desk, a height-adjustable stand or arm from the monitor stands and arms collection improves posture more than extra colour accuracy does; our post on office tech upgrades worth the money ranks these choices.

6. Does a single office PC need an online UPS?

Online double-conversion units such as the APC Easy UPS On-Line SRV 1000VA (S$500, available to order) are built for servers, storage and equipment that must never see a transfer. A desktop and a router at a reception counter usually need a line-interactive unit with automatic voltage regulation, such as the APC Back-UPS 950VA at S$270, in stock. Check the power supply first: the listing for the APC Back-UPS Pro BR900MI notes its stepped-approximation output may not suit some active-PFC power supplies. The UPS size calculator guide shows how to size by watts.

7. Are you paying for enterprise Microsoft 365 you do not use?

Microsoft's comparison page lists Business Basic, Business Standard and Business Premium for 1 to 300 users, and Business Premium adds Intune Plan 1 device management, Microsoft Defender for Business, Defender for Office 365 Plan 1 and Purview data loss protection over Business Standard. For many small and mid-sized organisations that covers what they bought an enterprise plan for. As listed on 23 Oct 2026, Microsoft 365 Business Premium is S$335 per user per year against S$600 for Microsoft 365 E3; Business Standard is S$213 if you do not need device management. Compare feature lists against what IT actually uses before renewing. All plans are in the software for business collection.

Where right-sizing goes wrong

Right-sizing is about the typical user, so keep exceptions on the list: analysts get the P3, designers get the calibrated monitor, and servers get the online UPS. The other mistake is comparing quotations on headline price alone; why the cheapest IT quotation isn't always the best deal shows how to compare like for like, and Before You Buy 50 Office Laptops covers fleet standards.

Frequently asked questions

What laptop spec is enough for office work in 2026? For email, Microsoft 365, browser apps and video calls, a current U-series processor with 16GB of memory and an NVMe SSD, such as the ASUS ExpertBook B1 B1403CVA-NJ1209X at S$1,499, is enough for most staff.

Is 32GB of RAM necessary for office users? Not usually. Buy 16GB in a laptop with SO-DIMM slots, as on the ExpertBook B1, so memory can be added later if a user's workload grows.

When is a Thunderbolt dock worth the extra cost? When the laptop has a Thunderbolt port and the desk needs several high-resolution screens or fast external storage. A laptop without Thunderbolt runs a Thunderbolt dock as a USB-C dock.

Do office PCs need an online UPS? Not usually. A line-interactive UPS with AVR such as the APC Back-UPS 950VA (S$270) suits a desktop and router. Online double-conversion units are for servers and sensitive loads.

Is Microsoft 365 Business Premium enough instead of E3? For organisations of up to 300 users it often is. Microsoft lists Intune Plan 1, Defender for Business and Purview data loss protection in Business Premium. Check the features you rely on before switching.

Are 4K webcams worth it for Teams? For presenters and recorded content, yes. For everyday desk calls a full HD business webcam is usually enough.
