Video Conferencing & Meeting Rooms

The Next Big Software Update Could Break Your Meeting Room. Are You Prepared?

A software update breaks a meeting room when it lands on every room at once, on hardware nobody tested. The fix is not to stop updating, because Microsoft only supports the current and previous Teams Rooms app versions. The fix is to control the order: a test room first, the boardroom last, and an owner who checks each stage.

Below: how updates arrive, Teams Rooms Pro Management Portal rings, vendor portals and what "rollback" can mean, with examples including the Yealink MeetingBar A40, Logitech Rally Bar Mini, Lenovo ThinkSmart Core + Controller Kit for Microsoft Teams Rooms and Yealink CP965 Teams conference phone.

Where do meeting room updates actually come from?

A room system is several layers of software, each with its own publisher and schedule.

Layer Who ships it How it is controlled What to do
Teams Rooms app Microsoft Pro Management Portal update rings (Pro licence); automatic overnight for Basic Stage it: test room first, boardroom last
Windows quality and security updates (Teams Rooms on Windows) Microsoft Install automatically, outside the rings Do not block them; watch the morning after
Windows feature version Microsoft, gated by the Teams Rooms app Held back until the app supports it Never force it early
Drivers and firmware The device maker (OEM) Windows Update, listed and staged in the Pro Management Portal Treat like an app update; test first
Android room devices, panels, phones Microsoft and the OEM Pro Management Portal rings, overnight window Put one of each model in the first ring
Peripherals and USB devices The device maker Vendor portal (Logitech Sync, Yealink YMCS) Use update channels or scheduled tasks

How do Teams Rooms updates work on Windows?

Microsoft's documentation splits responsibility clearly. The Teams Rooms app comes directly from Microsoft. Drivers and firmware come from the room system's maker via Windows Update; the Pro Management Portal lists them and deploys them through your update rings. Windows quality and security updates install automatically outside the rings, so security fixes are not held up.

Two warnings from the same page. First, Microsoft says to disable Windows Update for Business or WSUS on Teams Rooms devices, because either prevents the portal from controlling updates and can leave a room unsupported. It is easy to apply a normal laptop patch policy to a room PC by accident, so check this before anything else. Second, updates run in a nightly maintenance window, which Microsoft gives as 12:00am to 5:00am room local time. If a timer switch cuts power to the room overnight, updates will keep failing.

Room hardware such as the Lenovo ThinkSmart Core + Controller Kit for Microsoft Teams Rooms (price on request; quoted per room configuration) runs Windows 11 IoT Enterprise for Collaboration, so it follows this Windows model. For choosing the compute itself, see the best mini PC for Microsoft Teams Rooms.

What are Teams Rooms update rings, and how should you set them up?

Update rings are groups of rooms that receive each update in sequence. Microsoft describes a Staging ring as "your testbed", where all new updates roll out first, and an Executive ring for your most high-profile rooms, where you want to minimise disruption. Each ring has a deferment period before it starts, a rollout duration and a test period, and Microsoft caps the whole sequence: updates cannot take more than 60 days to complete across all rings. Admins can pause, retry failed devices or force an urgent update.

The rings are a Teams Rooms Pro feature. Microsoft states that Basic and legacy licences receive updates automatically during the nightly maintenance window, with no staging. See our post on Microsoft Teams Rooms licence features and ROI for what else Pro includes.

A sensible starting layout:

  • Staging: one test room, plus one device of every model you run (bar, panel, phone, Windows room PC). Microsoft notes an update may not appear unless an applicable device is in the earliest ring.
  • General: ordinary meeting rooms and huddle rooms.
  • Executive: boardroom, training room, client-facing rooms, the rooms the CEO uses.

For Android devices, Microsoft's default mapping places room systems, panels and touch consoles into Staging (0 to 6 days), General (7 to 13 days) and Executive (14 to 20 days). Check the test room in week one.

Do Android video bars and Teams phones update the same way?

Mostly. Microsoft says automatic updates for Teams Android devices are managed through the Pro Management Portal, run only in the 12 AM to 5 AM device-local window, and wait if the device is busy; no custom window is possible. One exception: updates to the minimum required Admin Agent are mandatory and cannot be paused, so plan for them rather than being surprised.

This covers devices such as the Yealink MeetingBar A40 (price on request; quoted per room configuration), which runs Microsoft Teams Rooms on Android 13, and the Yealink CP965 Teams conference phone, S$899.10 as listed on 24 Oct 2026 and in stock, which its listing says is managed through Teams Admin Center. The Yealink Teams Rooms systems guide explains which Yealink kits run Android and which run Windows.

What about firmware for cameras, bars and USB devices?

Vendor portals handle the layer Microsoft does not. Logitech Sync offers a Production channel (the latest production versions, the default for all rooms), a Beta channel, and custom channels where you pick the exact version each device type runs and publish it. You can also schedule an update window for a room, applied in the room's local time; Webcams are managed by Logi Tune instead. The Logitech Rally Bar Mini (price on request; quoted per room configuration) is managed through Sync for firmware and monitoring.

Yealink Management Cloud Service (YMCS) upgrades phones and USB devices in bulk by specifying the firmware, raises alarms for failed firmware upgrades, and can run management tasks during off-hours. With either portal, pin a known-good version for executive rooms and let only the test room follow the newest release.

Rollback is a plan you write before the update, not a button you look for after it.

Can you roll back a meeting room update?

Often not in the way people assume. Logitech's own Sync documentation states plainly: "You cannot downgrade devices." Microsoft also supports only the current and previous major Teams Rooms app version, and fixes for defects arrive in the latest version. Realistic options are:

  • Pause the update in the Pro Management Portal before it reaches the next ring.
  • Hold other rooms on the known-good version through a custom channel or ring deferment.
  • Swap to a fallback: a laptop with a USB speakerphone, or a room still on the older version.
  • Escalate to the vendor; the fix will be a newer update.

Also watch the operating system underneath. Microsoft's lifecycle page lists Windows 11 25H2 as recommended and 24H2 as supported for Teams Rooms, marks 23H2 and 22H2 as not supported, and states that Teams Rooms support for Windows 10 ended on 14 October 2025. Microsoft also holds back new Windows feature versions for up to six months or more while it validates them; do not push rooms ahead of that. Our wider guide to operating system end of support covers the rest of the fleet.

A simple update checklist for every room

  1. Inventory each room: model, platform, licence, version.
  2. Assign rings, one of every model in Staging.
  3. Remove laptop patch policies (WUfB, WSUS) from room devices.
  4. Keep rooms powered overnight.
  5. After each update, run a test call: join, share, check camera and audio.
  6. Keep a fallback kit and name who can pause a rollout.
