Another Cyberattack in the Headlines. But Is Your Meeting Room Secure?

A meeting room is secure when its system is treated as a managed appliance: a dedicated resource account protected by Conditional Access, automatic updates left switched on, monitoring through a management portal, and a network segment of its own. Most of the risk sits in the defaults nobody changed, not in the camera or the screen.

This post comments on no particular attack. It is a checklist for Microsoft Teams Rooms and Zoom Rooms, built from Microsoft Learn and Zoom guidance, with store examples: the Yealink MVC S40, Lenovo ThinkSmart Core Gen 2 + IP Controller Kit, Barco ClickShare Hub Core, the Microsoft Teams Rooms Pro licence and the Fortinet FortiGate-60F.

Meeting room security at a glance

Layer What usually goes wrong What Microsoft or Zoom advises What to do
Resource account Shared with a person One cloud-only account per room, protected with Conditional Access Licence it as a room; least-privilege admins
Updates Paused and never resumed Teams Rooms on Windows patches itself nightly; Android updates run in rings Leave automatic updates on; test in an early ring
Management Nobody watches room health Teams Rooms Pro Management monitors devices and peripherals Assign an owner and alerts
Local accounts Default Admin password left in place Change the default Admin password after setup Store it in your password vault
Network Room PC on the office LAN Rooms don't need the internal LAN; isolate them Separate wired VLAN with internet access
Zoom Rooms Default Room Passcode, sharing key on a sign Change the passcode; keep sharing keys out of public view Review room settings centrally

Why is a meeting room a security question at all?

A Teams Rooms system is a computer running Windows 11 IoT Enterprise or Android, signed in to your Microsoft 365 tenant all day, sitting in a room that visitors walk into. Microsoft's security guidance for Teams Rooms says they "should not be treated like a typical end-user workstation" and recommends "treating them as appliances". No extra software, no browsing, and a short list of settings IT controls. Camera and recording privacy is a separate topic, covered in Are Smart Meeting Room Cameras a Privacy Nightmare?

How should the Teams Rooms resource account be set up?

Each room signs in with its own Microsoft 365 resource account, licensed with Teams Rooms Basic or Pro, and Microsoft recommends creating it cloud-only in Microsoft Entra ID. Two requirements surprise security teams. "Password never expires" is a requirement for shared Teams devices, because an expired password signs the room out. And user-interactive multifactor authentication cannot be used, since it would stop the room signing back in after a reboot; Microsoft points to Conditional Access and Intune compliance instead. Teams shared devices also do not support Security defaults in Entra ID. Use a long random password kept in a vault, and never reuse a person's account for a room.

Who keeps Teams Rooms updated?

On Windows, the system does it for you. Microsoft states that Teams Rooms installs pending Windows updates "every day beginning between 2:00 - 3:00 am local device time", and warns that using other tools to deploy updates "can delay the installation of Windows patches and thus lead to a less secure deployment". So leave it alone, and leave the room powered on overnight.

Teams Android devices, including Teams Rooms on Android and panels, now take automatic updates through the Pro Management Portal in Staging, General and Executive rings, between 12 am and 5 am device time. Put a test room in the earliest ring and the boardroom in the last. Test rooms and rollback are covered in The Next Big Software Update Could Break Your Meeting Room.

What does Teams Rooms Pro Management add?

Microsoft describes the Pro Management service as "a cloud-based management solution that proactively monitors and updates Microsoft Teams Rooms devices and their peripherals". It tracks application, OS, peripheral and firmware health and room inventory, and Microsoft states it "doesn't access the live content of a meeting". Teams Rooms Basic includes portal enrolment, inventory and automatic updates for up to 25 rooms. Pro adds remote configuration, device history and custom health alerts, and Microsoft lists Intune, Entra ID P1 and Conditional Access policies for Pro only. Whether the in-room features justify the cost is argued in Microsoft Teams Rooms: Is Your Office Paying for Features Nobody Uses?

Should Teams Rooms devices be enrolled in Intune?

Yes, if you use Conditional Access, but with room-friendly policies. Microsoft supports conditions such as locations and "Require device to be marked as compliant", while a sign-in frequency policy "causes devices to periodically sign out". Windows compliance can check BitLocker, Secure Boot, firewall, TPM and Defender, but password policies and OS version limits are not supported because they can break the automatic sign-in. Defender is on out of the box and should stay on, with no extra endpoint software. BitLocker is off by default and, if enabled, must run without a pre-boot PIN or the room will not start unattended. Teams Android devices now enrol through AOSP Device Management, which replaces the legacy Device Administrator method.

What about local accounts and physical access?

Teams Rooms on Windows ships with a local account named Admin "with a default password", and Microsoft "strongly recommend[s]" changing it as soon as setup is done. Leave the automatic Skype user account alone: Microsoft says not to change its password or give it administrator rights. UEFI settings need a physical keyboard and mouse, so as general practice we mount the compute unit behind the display or in a lockable cabinet, with spare USB ports out of reach.

A meeting room is a computer that never logs off. Manage it like one, then leave the updates alone.

How should the meeting room network be segmented?

Microsoft is direct: "Teams Rooms devices don't need to connect to an internal LAN. Consider placing Teams Rooms in a secure isolated network segment with direct Internet access." It also recommends that Teams media bypasses proxy servers, since it is already encrypted, and "strongly recommend[s]" wired connections. In practice: a room VLAN, firewall rules opening only the Teams, Windows Update, Intune and Pro Management endpoints Microsoft lists, and no route into file servers. A FortiGate can enforce that boundary; see is FortiGate the right firewall for a small business. Finding stray devices is covered in A Cyber Incident Can Start With a Forgotten Device in Your Office.

Do the same rules apply to Zoom Rooms?

The principles carry over. Zoom's security checklist for Zoom Rooms, published on its blog in 2021, adds a Room Passcode, "a 1-16 digit numeric lock code", which Zoom says to "change the passcode from the default one". It also advises against displaying sharing keys in public spaces, auto-accepting camera control requests, auto-starting meetings in shared rooms, and using the Room Meeting ID for instant meetings. If you follow CSA Cyber Essentials, which "provides a structured approach to implementing essential cybersecurity measures", include meeting rooms.

Frequently asked questions

Can I turn on MFA for a Teams Rooms account? Not user-interactive MFA, which would stop the room signing in after a reboot. Use Conditional Access conditions such as location and device compliance instead.

Why must the Teams Rooms password never expire? Microsoft lists it as a requirement for shared Teams devices, because an expired password signs the room out. Compensate with a long random password and Conditional Access.

Should I stop Teams Rooms updating itself? No. Teams Rooms on Windows installs updates nightly, and Microsoft warns other tools can delay patches. Leave rooms powered on overnight.

Do I need Teams Rooms Pro for security? Basic includes automatic updates and inventory for up to 25 rooms. Microsoft lists Intune, Entra ID P1 and Conditional Access policies for Pro only, so Pro is the fit if you rely on those controls.

Should meeting room systems be on the office LAN? Microsoft says Teams Rooms devices do not need the internal LAN and suggests an isolated segment with direct internet access, preferably wired.

How do I secure a Zoom Room? Zoom advises enabling a Room Passcode and changing it from the default, keeping sharing keys out of public view, and not auto-accepting camera control requests.
