A Teams Rooms Pro licence is assigned to the room's resource account, not to a person. Microsoft states the limit plainly: "Teams Rooms Pro and Teams Rooms Basic licenses are intended for a single room only. Using the same account across multiple devices that do not belong to the same room violates the license terms of use." One room, one licence — count meeting rooms, not people.
Teams Rooms Basic Stops at 25 Rooms
Basic is free but capped, and the cap is the reason most organisations end up here. Microsoft: "You can assign up to 25 Microsoft Teams Rooms Basic licenses to Teams Rooms systems in your organization. If you need to license more than 25 Teams Rooms systems, those additional licenses need to be Teams Rooms Pro licenses." Basic also licenses only one system per room: "If you want to log into more than one Teams Rooms system in a room using the same resource account, you need to use a Teams Rooms Pro license."
What Pro Adds — In the Room and in the Management Console
Microsoft's summary: Pro "delivers enhanced in-room meeting experiences like intelligent audio and video, front row and large galleries, and dual screen support. The Teams Rooms Pro license also provides advanced management features like remote device management, conditional access policies, and detailed device analytics." In the room that means meeting chat, Front row, Large gallery with 50 videos, dual screen, speaker identification, multi-camera, panoramic room view, AI noise suppression, people counting, coordinated meetings, room check-in with a Teams Panel and whiteboard sharing with a Content Capture Camera.
Do Not Add a Microsoft 365 User Licence to the Room
This one causes real problems, including sign-in blocks. Microsoft: "Teams Rooms devices managed by central IT should only be assigned the following licenses: Microsoft Teams Rooms Pro, Microsoft Teams Rooms Basic, and any additional licenses required for calling (such as calling plans) or enhanced security. No other licenses should be applied." And: "Enterprise per user Microsoft 365 suite licenses aren't authorized for use on shared meeting devices." The exception is PSTN calling — if the room needs to dial out, a calling plan is bought alongside. Ask us and we will quote it with the room.

What Microsoft Does Not Publish for This Product
The following are commonly asked about but are not stated on any current official Microsoft source for this product, so SourceIT does not quote them: a minimum purchase quantity, a Teams Rooms Pro specific data residency commitment and a Singapore dollar list price. We would rather leave a field blank than print a figure we cannot substantiate.
Lifecycle, End of Support and Entitlement
SourceIT sells this as a twelve-month subscription with a GST invoice in Singapore. The subscription is a right to use the service for the term, not a perpetual licence: when the term ends the entitlement ends unless it is renewed.
Microsoft publishes a lifecycle entry for Teams Rooms Pro. It is governed by the Modern Lifecycle Policy, with a start date of 6 September 2022 and a status of "In Support", with no retirement date published. Two historic enforcement dates are worth knowing because they still catch out older estates: "Effective July 1, 2023, those who have activated Microsoft Teams Rooms devices, Microsoft Surface Hubs, and personal mode through a user license (i.e., A, E, G) will be blocked from logging in", and "Effective May 15, 2023, new devices must have a Teams Rooms Pro or legacy Teams Rooms Premium license to use Pro Management portal features." The legacy Teams Rooms Standard and Premium licences are the replaced predecessors.
Talk to our team before the renewal date rather than after it. Seat counts, mid-term changes and co-terming with the rest of your Microsoft estate are all easier to arrange in advance, and we can quote the alternatives if a bundle would work out better for you.

Support and Entitlement Position
This is a software subscription, not hardware. It carries no hardware warranty, and any warranty term you see on a hardware listing does not apply here. What you are buying is a twelve-month right to use the service, together with SourceIT's local support in Singapore. Microsoft's own condition is that technical and billing support for a subscription bought through a partner runs through that partner, so for this subscription that means us: raise the ticket with SourceIT and we escalate to Microsoft where it needs to go. Renewal, seat changes and co-terming are handled on your SourceIT account. Ask our team for the current entitlement position in writing with your quotation.
Compatibility, Deployment and System Requirements
Count rooms, not people, and count them carefully. Microsoft licenses this per room and states that using one account across devices that do not belong to the same room violates the licence terms. If a single room contains more than one Teams Rooms system signing in with the same resource account, that room needs Pro rather than Basic. Send us your room list with the device in each and we will tell you exactly what to buy.
Do not assign a Microsoft 365 user licence to a room. Microsoft's instruction is that room devices "should only be assigned" Teams Rooms Pro or Basic plus any calling or enhanced-security licences, and that "No other licenses should be applied"; enterprise per-user suite licences "aren't authorized for use on shared meeting devices". Since 1 July 2023, devices activated through a user licence are blocked from signing in altogether. If the room needs to dial out on the public telephone network, that is a calling plan bought alongside, and we will quote it with the room.
On data residency, be careful what you are told. Microsoft does not publish a Teams Rooms Pro specific residency commitment, and Teams Rooms Pro Management telemetry and analytics is not called out as a separately committed workload. Singapore is not one of the geographies Microsoft lists for Advanced Data Residency. Microsoft's published ADR list runs Australia, Austria, Brazil, Canada, Chile, Denmark, France, Germany, India, Indonesia, Israel, Italy, Japan, Malaysia, Mexico, New Zealand, Norway, Poland, Qatar, South Africa, South Korea, Spain, Sweden, Switzerland, Taiwan, the United Arab Emirates and the United Kingdom — Malaysia and Indonesia are on it and Singapore is not. Advanced Data Residency also requires 100 per cent licence coverage of the paid licences in a tenant. Separately, the EU Data Boundary covers the 27 EU member states plus Liechtenstein, Iceland, Norway and Switzerland, scoped by sign-up location, so a Singapore-registered tenant is out of scope for it. If data residency is a hard requirement for your organisation, raise it with us before you order rather than after. We would rather tell you that than infer a commitment from the Microsoft Teams entry.

Why not just use the free Teams Rooms Basic?
For up to 25 rooms with modest needs, Basic may genuinely be enough, and we will say so. If you need to license more than 25 Teams Rooms systems, those additional licenses need to be Teams Rooms Pro licenses." Pro also adds the management side — remote device management, conditional access, device analytics and Pro Management — plus Front row, large gallery, dual screen and intelligent audio and video in the room. Basic covers only one system per room.
