Workplace & IT Buying

What IT Vendors Wish Customers Knew Before Asking for a Quote

"Can you quote me 20 laptops?" sounds like a complete request. It is not. A quote is only as accurate as the request behind it: the vendor fills every gap with an assumption, and every assumption is a reason for the final invoice to differ from the number you approved. Five extra lines in your first email usually save a week of back-and-forth.

This is the request side of buying IT, written from where we sit as a Singapore reseller. Once quotes arrive, comparing them is a separate skill, covered in why the cheapest IT quotation isn't always the best deal. Here we cover what to put in the request, why prices and lead times move, and how to get an accurate answer faster.

The RFQ checklist

Include Why the vendor needs it Example of a useful line
Quantity, and whether it may change Pricing tiers and stock checks depend on it 20 units now, possibly 10 more in Q1
Exact SKU or part number, or the requirement One model name covers several configurations ASUS ExpertBook B1, part number 90NX0811-M0AWN0, or "14-inch, 16GB, 512GB SSD, Windows 11 Pro"
Acceptable alternatives Lets the vendor offer an in-stock equivalent "Equivalent Intel or AMD model acceptable"
Delivery address and required date Lead time, delivery charges and loading-bay rules One site, required by 1 Dec, lift access available
Warranty level Onsite, carry-in and extended terms are priced differently 3 years onsite, next business day
Operating system and licensing Home vs Pro, and software subscriptions per user Windows 11 Pro; 20 Microsoft 365 Business Standard seats
Installation and services Imaging, asset tagging, setup and disposal are labour Unbox, asset-tag and deploy at desks
Billing entity and payment terms Credit checks and invoicing Company name and UEN, 30-day terms, GST invoice
Procurement route GeBIZ, Vendors@Gov and purchase-order flows differ GeBIZ quotation number, or PO to follow
Budget and decision date (optional) Helps the vendor suggest the right tier, not the dearest About S$1,500 per unit; decision by end of month

Why "20 laptops" is not enough

A laptop model name hides several configurations. Our ASUS ExpertBook B1 B1403CVA-NJ1209X listing (S$1,499 as listed on 23 Oct 2026, in stock) shows its part number, 90NX0811-M0AWN0, alongside the processor, memory, storage and warranty. Sending that part number removes any doubt. If you do not know the part number, describe the requirement instead: who uses the device, which applications they run, screen size, weight, ports and the docks or monitors it must work with. A good vendor will turn that into a SKU; a vague request just gets the vendor's guess. If you are not sure what spec your users need, why your next IT upgrade could be a downgrade covers the traps.

Warranty, licensing and services change the total

Three lines are most often missing from requests, and each one moves the price.

Warranty. Say whether you need onsite or carry-in service and for how long. The ExpertBook B1 and the ASUS ExpertBook P3 P3406CCA-LY0040X (S$2,099) are both listed with 3 years of local onsite warranty; for other SKUs, ask the vendor to state the term on the quote.

Licensing. State the Windows edition and any subscriptions. Microsoft 365 Business Standard is S$213 per user per year as listed; leaving it out of the request and adding it later means a second quote.

Accessories and services. Docks, monitors, imaging and asset tagging all belong in the first request. A USB-C dock such as the Targus USB-C 4K HDMI/VGA dock with 100W (S$101.04) suits the B1; the vendor can only match docks to laptops if both are in the same request. For larger fleets, before you buy 50 office laptops has the full procurement checklist.

Why do prices and lead times move?

Customers sometimes see a quote change between one week and the next and assume the vendor is playing games. Usually it is the supply chain. Resellers buy from distributors, and distributors receive allocation from manufacturers; when a popular model is in short supply, stock goes to whoever confirms first. Distributor price lists change, promotions start and end, and some manufacturers price in US dollars, so currency moves feed through. That is why quotes carry a validity period, and why "in stock" today is not a promise for next month.

What helps: confirm the purchase order within the quote's validity, tell the vendor early if the date is fixed, and allow an alternative model where you can. Stock on our product pages is shown live, which is a useful first check before you ask.

The customer's side of the argument

There is a fair case on the other side. Buyers are busy, and filling in a checklist for a routine purchase feels like doing the vendor's job. Some buyers worry that stating a budget invites a quote that spends all of it. Others want a quick number for internal approval and will refine the details later. And some vendors do ask more questions than they need.

All of that is reasonable. Our answer is that the request does not have to be long; it has to be specific where it matters. A ballpark request labelled as a ballpark gets a ballpark answer, and that is fine. The problems start when a ballpark is approved as if it were final. As for budgets, a stated budget lets a vendor say "you do not need the higher tier".

Our verdict

The fastest way to a lower price is not to haggle harder; it is to ask a clearer question.

A complete request gets a quote you can approve without surprises, and it lets you compare vendors on the same terms. Vague requests get padded quotes, because a vendor quoting an unknown has to cover the risk somewhere. That applies well beyond laptops: our posts on the biggest mistake companies make adopting AI and why businesses are bringing AI back in-house make the same point for AI hardware, where defining the use case comes before the quote. And if you are deciding between towers, mini PCs and laptops, read is the traditional office PC dying? before you write the request.

Government and education buyers

Public-sector requests have extra fields. Include the GeBIZ quotation or tender reference, the closing date and any specification document, and say whether payment will go through Vendors@Gov or another channel. Our government sales page lists the payment methods we accept, including Ariba Network, GeBIZ, Vendors@Gov, SESAMi and InvoiceNow. The GeBIZ guide explains the portal, and buying ASUS Agent Computers via GeBIZ and Vendors@Gov walks through a worked purchase route.

Frequently asked questions

What should an IT request for quotation include? Quantity, exact part numbers or a clear requirement, acceptable alternatives, delivery address and date, warranty level, operating system and licensing, installation needs, billing entity and payment terms, and the procurement route such as a purchase order or GeBIZ.

Should I tell a vendor my budget? It is optional, but it helps the vendor suggest the right tier rather than the most expensive one. You can still compare quotes from several vendors on the same specification.

Why did my IT quote change after a week? Distributor prices, promotions, stock allocation and currency movements all change. Quotes carry a validity period; confirming the order within it is the way to secure the quoted price.

How can I get an IT quote faster? Send part numbers or a clear requirement, quantities, delivery date and address, and warranty and licensing needs in the first message, and say whether alternative models are acceptable.

Can government agencies buy from SourceIT through GeBIZ? Yes. SourceIT accepts GeBIZ, Vendors@Gov, Ariba Network, SESAMi and InvoiceNow, as listed on its government sales page.

Do I need a part number to request a quote? No. A description of the users, applications, screen size, ports and accessories is enough for a vendor to propose a SKU, which you can then confirm.
