Video Conferencing & Meeting Rooms

Still Using a Laptop Webcam for Group Meetings? You Might Be Doing It Wrong.

If more than two people share a meeting room and join through one laptop, you are probably doing it the hard way. A laptop's webcam, microphones and speakers are designed for one person at arm's length: the camera sees a narrow slice of the table, the microphones favour whoever sits closest, and the small speakers struggle to fill a room. For a small group, a room device fixes all three at once. A business webcam such as the Logitech C920e (S$106.31) is right for one person at a desk; an all-in-one video bar such as the Yealink UVC40 E2 (S$645.00) is built for a room. Prices at SourceIT, listed 25 Oct 2026.

What goes wrong with a laptop in a group meeting?

  • People drop out of frame. Laptop makers rarely publish their webcam's field of view. For a sense of scale, Logitech's C920e business webcam has a 78° diagonal view, while room video bars such as the UVC40 E2 and Logitech MeetUp 2 quote 120°. In a small room, that is the difference between seeing two people and seeing everyone.
  • The far end hears one person well and the rest faintly. Laptop microphones are tuned for the user in front of the keyboard. People further down the table sound distant.
  • The room cannot hear the far end. Laptop speakers are small, and turning them up makes echo more likely.
  • Echo from several laptops. When people in the same room each join on their own laptop with audio on, the devices pick up each other's speakers. One room device, with everyone else muted and speakers off, avoids this.
  • The camera is at the wrong height and angle. A laptop on the table looks up at the nearest person and across at everyone else.
A laptop is a personal device. A meeting room needs a room device.

Why a video bar works better for groups

A video bar is mounted at the display, so everyone faces it when they look at remote colleagues. Its wide camera and AI framing keep the whole group in view and crop in on the people who are there; the UVC40 E2 lists Auto Framing and Speaker Tracking. Its microphone array is designed to pick up voices across the room, rated by Yealink at up to 6 m for the UVC40 E2, and its speaker is sized for a room rather than a lap. The laptop still runs Teams or Zoom; it just stops being the camera, microphone and speaker. Microsoft's room planning guidance makes the same point: smaller rooms "may be covered by cameras included within all-in-one audio devices", which "typically feature a wide field of view, ensuring that they capture every participant in the space in a single shot."

How to switch a room over

  1. Mount the bar centred above or below the display; the UVC40 E2 includes a wall bracket and a TV-mount bracket.
  2. Connect one cable from the bar to the room PC or presenter's laptop, or add Yealink's BYOD Box (S$195.00) for single-cable guest laptops.
  3. Select the bar as camera, microphone and speaker in Teams or Zoom.
  4. Ask everyone else in the room to join without audio, or with microphone and speakers off, to prevent echo.
  5. Test once from the far end of the table.

What if the room is just one or two people?

Then a laptop, a good business webcam and a headset are often the right answer. A headset gives each person the cleanest audio; our guides to fixing Bluetooth headset audio on Teams and the best office headsets cover that side. Frequently asked questions

Is a laptop webcam good enough for group meetings? Rarely. It is designed to frame one person at arm's length, so people at the sides of the table drop out of view and sound distant.

What is the field of view of a business webcam? Logitech's C920e has a 78° diagonal field of view. Room video bars such as the Yealink UVC40 E2 and Logitech MeetUp 2 quote 120°.

Why is there echo when several people join from laptops in the same room? Each laptop's microphones pick up the other laptops' speakers. Use one room device and have everyone else join with audio off.

Do I still need a laptop with a video bar? For a USB video bar such as the Yealink UVC40 E2, yes: the laptop or room PC runs Teams or Zoom, and the bar provides the camera, microphones and speaker.

What does a video bar cost? At SourceIT on 25 Oct 2026, the Yealink UVC40 E2 is S$645.00 and the Logitech MeetUp 2 is S$1,299.38.
