Travel Less, Collaborate More: Is Your Company Still Flying Staff for Every Meeting?
Most companies no longer need to fly staff for every meeting. Recurring reviews, status updates, project check-ins and most internal decisions work well over video when the room has clear audio, a camera that frames people properly and a screen big enough to see faces. Travel still earns its cost for first meetings with important clients, negotiations, site visits, hands-on work and moments where trust is the whole point.
This post sets out when to travel and when to call, a cost comparison with clearly labelled assumptions, and the large-room systems that make cross-border meetings work, including the Logitech Rally Bar + Tap IP bundle, the Yealink MVC S90 Microsoft Teams Rooms on Windows kit and the Neat Bar Pro + Neat Pad bundle. It also says plainly what video cannot do.
Which meetings still need a flight, and which do not?
| Meeting type | Video usually enough? | Why |
|---|---|---|
| Weekly or monthly regional reviews | Yes | Known people, fixed agenda, mostly slides and figures |
| Project status and steering meetings | Yes | Short, frequent and document-driven; a flight costs more than the meeting decides |
| Internal training and briefings | Mostly | Works well with good audio and content sharing; hands-on practice may still need people in the room |
| Supplier or partner updates | Yes | The relationship already exists; video keeps it regular |
| First meeting with a major client | Often no | First impressions, informal time before and after, reading the room |
| Contract negotiation or difficult conversations | Case by case | Subtle reactions and private side conversations matter more |
| Site visits, installations, audits | No | The work is physical; video can support it but not replace it |
| Team offsites and onboarding | Partly | Video covers the content; shared time in person builds the relationships |
The pattern is simple: if the meeting is mainly about information, video does the job. If it is mainly about trust, physical work or the conversations that happen around the meeting, travel still has a place.
How much does a business trip really cost compared with a video meeting?
Every company's figures differ, so here is a method rather than a claim. The numbers below are assumptions for illustration only; replace them with your own fares, hotel rates, allowances and salaries.
- Assumption A: a two-day regional trip for one person costs S$1,500 in fare, hotel, transport and allowances.
- Assumption B: that person's loaded salary cost is S$60 per hour, and the trip uses 10 working hours in airports and transit.
- Assumption C: the trip is for a three-hour meeting that could have been held by video.
On those assumptions, one avoided trip saves the S$1,500 direct cost plus about S$600 of working time spent travelling (10 hours at S$60), roughly S$2,100 per person per trip. If two staff travel monthly, that is 24 trips a year. Whether that justifies a room system depends on the quote you receive and how often the room is used, so calculate the break-even this way:
Break-even trips = room system quote ÷ saving per avoided trip.
Count only trips that would really be replaced. If the client still expects you in person twice a year, keep those trips in the plan.
What makes a large-room system worth it for cross-border meetings?
The equipment has to do three jobs: let remote people hear everyone at the table, show who is speaking, and make shared content readable. Our view on room design is covered in Can Technology Make Virtual Meetings Feel Almost Like Being There? and Your Meeting Room Doesn't Need More Gadgets. It Needs Better Planning.; here are three examples of what the store carries for larger rooms.
The Logitech Rally Bar + Tap IP Video Conferencing Bundle pairs a video bar for medium to large rooms with a 10.1-inch touch controller for one-touch join. The listing gives a 15X HD zoom camera, six beamforming microphones with a 7 m pickup range, and native Microsoft Teams Rooms or Zoom Rooms on Logitech CollabOS. It is price on request, quoted per room configuration.
For boardrooms and training rooms, the Yealink MVC S90-C5U-004 Native Teams Rooms System runs Microsoft Teams Rooms on Windows with two UVC86 4K tracking cameras and an AVHub processor, which the listing says scales to 9 cameras, 8 array microphones and 4 speakers. Price on request; quoted per room configuration. See Yealink MVC S40 vs S90 for how it compares with the smaller kit.
The Neat Bar Pro + Neat Pad bundle is listed for large spaces of 14 or more people, with dual 50MP cameras, a 16-mic beamforming array plus 4 tracking mics, and support for up to three 4K screens (the listing notes that Teams and Google Meet do not yet support three screens). Price on request; quoted per room configuration.
Can software make remote participants feel included?
It helps. Microsoft describes Front Row as "an inclusive meeting layout" on Microsoft Teams Rooms that lets the room see "people, content, and chat simultaneously". On Teams Rooms on Windows, Microsoft turns on a unified background by default for devices with 4 or more CPU cores, so remote participants appear to share one background, and spatial audio works with stereo speakers. These features help, but they depend on the room having the right displays, speakers and compute.
Long tables are where many rooms fail. If people at the far end are not heard, the remote office stops contributing. Adding a microphone near them is often the cheapest fix: the Logitech Rally Mic Pod Expansion Microphone, with four microphones and a 4.5 m pickup range per the listing, is S$570.38 as listed on 24 Oct 2026, and works with Rally Bar, Rally Bar Mini, Rally and Rally Plus.
What video conferencing cannot do
Good AV makes remote meetings feel more natural. It does not make them identical to being there. Eye contact is approximate, side conversations are harder, and the coffee before the meeting and dinner after it do not happen on a screen. For a new relationship or a sensitive negotiation, a flight may be the right call even when the room system is excellent.
Video should replace the trips that only exist to share information, not the ones that exist to build trust.
Our verdict: review your travel log, sort trips by purpose using the table above, and move the information-only meetings to video first. Keep the relationship trips, and make them count.
How to set up for travelling less
- Equip both ends. A good boardroom in Singapore does little if the overseas office joins from a laptop in a noisy room. For a sense of what different budgets buy, see The S$500 vs S$5,000 Video Conferencing Setup.
- Plan for the traveller who still travels. When staff are on the road, they need to present from anywhere: see Flight Delayed, Meeting Starting: Can You Run a Boardroom From Your Hotel Room? and Singapore's Weather Is Unpredictable. Your Work Setup Shouldn't Be.
- Make remote work routine. The same tools that cut travel also keep the business running when getting to the office is hard; When MRT Disruptions Hit, Is Your Business Ready for Remote Work? covers the readiness checks.
- Protect the room's power. A key meeting with an overseas client is a bad time for a power trip; The Rain Didn't Kill Your Presentation. The Power Outage Did. explains UPS sizing for AV.

Frequently asked questions
Can video conferencing replace all business travel? No. It works well for recurring reviews, updates and internal meetings, but first client meetings, negotiations, site visits and hands-on work often still need people in person.
How do I work out whether a meeting room system pays for itself? Divide the room system quote by the saving per avoided trip, using your own fares, hotel costs, allowances and staff time. Count only trips that would really be replaced.
Does a video meeting feel the same as meeting in person? No. Good audio, cameras and displays make it feel more natural, but eye contact, side conversations and informal time are not the same on a screen.
What is Front Row in Microsoft Teams Rooms? Microsoft describes it as an inclusive meeting layout that lets the room see people, content and chat at the same time, with features such as a unified background and spatial audio on Teams Rooms on Windows.
What matters most in a large meeting room for overseas calls? Audio coverage for every seat comes first, then a camera that frames whoever is speaking, then displays large enough to read faces and content. Expansion microphones help on long tables.
Do the overseas offices need the same equipment? Not identical, but both ends need clear audio and a usable camera. Mixed brands work when both sides use the same meeting platform, such as Microsoft Teams or Zoom.
