Your UPS Battery Might Be Dead Before You Realise It

A UPS battery can be dead long before anything tells you. The front panel stays green and the mains passes straight through, so the first real test is the next power dip, when a worn battery drops the load instead of carrying it. APC says most of its batteries last three to five years, and heat shortens that sharply, so any UPS that has been running for a few years in a warm cupboard deserves a check this week.

Below: why batteries fail quietly, what a self-test proves, when to calibrate, how monitoring helps and how to replace the cartridge, using the APC Smart-UPS C 3000VA and its APCRBC150 cartridge, the APC Back-UPS Pro BR 900VA and APCRBC164, the APC Smart-UPS On-Line 1000VA and the APC Network Management Card 3.

Quick check: is my UPS battery already worn out?

What you see What it usually means What to do
Replace battery LED or LCD message The UPS has failed its own battery test Order the cartridge named for your model now; do not wait for the next outage
Battery older than three years, no alarm Inside APC's typical life window; capacity may already be falling Run a manual self-test, check the purchase date, budget a replacement
Runtime estimate much lower than when new Capacity loss, or the estimate needs recalibrating Run a runtime calibration at more than 30% load in a maintenance window
UPS sits in a hot cupboard or rack Heat is halving battery life Improve airflow or cooling; shorten your replacement cycle
Nobody can say when the battery last tested No monitoring, so failures go unnoticed Fit a network management card where the UPS has a SmartSlot, or set email alerts

Why do UPS batteries die without warning?

Most office UPS units use sealed lead-acid (VRLA) batteries, and they age whether or not the power ever fails. Schneider Electric's APC battery FAQ puts the typical life at three to five years and names the biggest factor: temperature. APC says the optimal operating temperature for a lead-acid battery is 20 to 25°C and that every 8°C increase cuts battery life in half. Its own example is a battery that would last about four years at 25°C lasting about two years at 33°C. APC adds that the internal battery temperature of a UPS is always higher than the room around it.

That is why the comms cupboard matters. A UPS beside a PC exhaust or at the bottom of a closed rack runs warmer than the office thermostat suggests, and nothing looks wrong while the battery degrades. APC also notes that the typical end of life for VRLA batteries is about five years and strongly recommends replacing before that age, citing a lower risk of hydrogen sulfide gas from ageing batteries. Our view: treat the cartridge as a consumable with a date on it, not as part of the box.

A UPS that has never been tested is a hope, not a plan. Put a replacement date on every battery the day it goes in.

Does a passed self-test mean the battery is fine?

Not entirely. According to APC, Smart-UPS units run a self-test when first switched on and then once every two weeks by default, and the interval can be changed on the LCD, in PowerChute or through a network management card. During the test the UPS runs on battery for about 10 seconds. If the battery performs poorly, the UPS signals it through the replace battery LED or LCD, and through PowerChute Business Edition or a network management card if one is fitted.

A 10-second test catches a battery that has clearly failed. It does not tell you how many minutes you will get at your real load, so a pass is the floor, not the ceiling. If the replace battery light comes on, act immediately; if it has not, do not assume runtime is what it was on day one.

When should I run a UPS runtime calibration?

A runtime calibration is the deeper check. APC describes it as forcing the UPS onto battery, draining the battery and charging it back up, which teaches the UPS its actual available runtime. APC's guidance is specific: keep the normal load attached, charge to 100% first, use a load above 30% for best results, and do not interrupt the process. It also warns that a faulty or end-of-life battery could cause the load to drop, so schedule it in a maintenance window.

Do not overdo it. APC recommends calibrating no more than once every six months, and only when the reported and expected runtimes disagree, because each deep discharge adds wear. For context, the store listing for the APC Smart-UPS On-Line 1000VA Rackmount 2U (SRT1000RMXLI, S$2,281.25) quotes Schneider's typical runtime of 21.5 minutes at half load (500 W) and 8.4 minutes at full load (1,000 W) with a new battery. If a calibrated unit now reports far less at the same load, the battery is telling you its age.

How does a network management card help?

Quiet failures are usually a people problem: nobody looks at the UPS. The APC UPS Network Management Card 3 (AP9640, S$596.25) fits a Smart-UPS SmartSlot and gives the UPS its own IP address, web interface and SNMP agent, with email alerts, event logs and support for PowerChute Network Shutdown. Failed self-tests then reach the IT inbox instead of a blinking LED in a locked room. The SRT1000RMXLI listing names the AP9640 as a compatible SmartSlot accessory.

Check before you buy: Back-UPS models have no SmartSlot. The APC Back UPS Pro BR 900VA (BR900MI, S$452.50) listing states that network management is not available on that model, so for desk-side units the practical routine is a calendar reminder, a look at the LCD and a manual self-test. Eaton states its ABM charging technology can extend battery life by up to 50% versus traditional charging; confirm a given Eaton model supports it.

How do I replace a UPS battery cartridge?

Use the model number on the rear label, not the VA rating; APC matches cartridges to the chassis. Three examples:

Check the manual for whether the swap needs a shutdown. After fitting, charge fully, run a self-test and record the install date on the unit and in your asset list. Ask us about collecting the old cartridge for lead-acid recycling. For background on why genuine cartridges matter, see APC battery replacement in Singapore and authentic APC RBC cartridges. If the load has grown since the UPS was bought, rerun the numbers with our UPS size calculator guide before replacing like for like.

Frequently asked questions

How long does a UPS battery last? APC says most of its batteries last three to five years, depending on environment and the number of discharges. Heat is the biggest factor: APC states that every 8°C increase in temperature cuts battery life in half.

How do I know if my UPS battery is bad? APC Smart-UPS units show a replace battery LED or LCD message after a failed self-test, also reported through PowerChute or a network management card. Runtime far below the original figure is another sign.

How often does an APC UPS test its battery? APC says Smart-UPS units self-test at power-on and then every two weeks by default, running on battery for about 10 seconds. The interval can be changed on the LCD, in PowerChute or on the network management card.

Should I run a runtime calibration? Only when the reported runtime does not match what you expect. APC recommends a load above 30%, an uninterrupted run, a maintenance window and no more than one calibration every six months.

Can I replace a UPS battery myself? Many APC cartridges are user-replaceable. Order the cartridge listed for your exact model, check the manual for whether the swap needs a shutdown, and run a self-test once it has charged.

Can I add network monitoring to any UPS? No. The APC Network Management Card 3 needs a SmartSlot, found on Smart-UPS models such as the SRT range. Back-UPS models such as the BR900MI have no SmartSlot.
