Your Laptop Is Cheap Until It Breaks: The Hidden Cost of Business Downtime

When a laptop breaks, the purchase price is usually the smaller part of the cost. The bigger part is the time it takes to get the employee working again. Using Singapore's median wage and a published IT support benchmark, our worked example puts one hardware incident at about S$197 if a spare laptop is swapped in, about S$280 with next-business-day onsite repair, and about S$814 if the laptop goes away for a week-long carry-in repair. That last figure is 54% of the price of an ASUS ExpertBook B1 B1403CVA with Intel Core 7 150U, 16GB and 512GB at S$1,499 (listed 4 Nov 2026). So the warranty and service terms you buy decide much of what a laptop really costs.

How do you put a number on laptop downtime?

Start with two inputs that are easy to defend:

  • Staff time. The Ministry of Manpower puts the 2025 median gross monthly income of full-time employed residents at S$5,775, including employer CPF. Over a year that is S$69,300. Divided by 2,080 working hours (52 weeks of 40 hours), it is about S$33.32 an hour. That counts wages only, not office overheads, lost sales or missed deadlines, so it understates the real cost.
  • IT handling. MetricNet's 2023 benchmarks put the average desktop support cost at US$114.96 per ticket (median US$88.07). At the 3 Nov 2026 exchange rate of 1.2802 Singapore dollars to the US dollar, that is about S$147 per incident.

Then estimate the productive hours lost. Forrester's Total Economic Impact study, commissioned by Intel (Jan 2024), found that hardware issues took an average of 1.5 hours to resolve before the companies it studied adopted vPro remote management. Beyond that, the hours depend on how your repairs work, which is where the assumptions in the table below come in.

Scenario (one hardware incident) Productive hours lost (assumed) Staff time at S$33.32/h IT handling Total
Spare laptop swapped in by IT 1.5 S$49.98 S$147.17 S$197.15
Onsite repair next business day, no spare 4 (half of one working day) S$133.27 S$147.17 S$280.44
Carry-in repair taking a week, no spare 20 (half of five working days) S$666.35 S$147.17 S$813.52

Wage input from MOM's 2025 median gross monthly income including employer CPF; IT handling from MetricNet's 2023 average desktop support cost per ticket, converted at USD/SGD 1.2802 (Trading Economics, 3 Nov 2026); the 1.5-hour figure from Forrester's Intel-commissioned study. The hours lost in the second and third rows are our illustrative assumptions: we assume an employee without a laptop loses about half their productive time, using a phone or a shared PC for the rest. Parts and repair charges are excluded. Use your own figures.

What does that mean for a 50-laptop office?

Good current failure-rate data is scarce. The most-cited study, by warranty provider SquareTrade, is from November 2009, so treat it as an order of magnitude only. Across more than 30,000 laptops it found 31% failed within three years: 20.4% through hardware faults and 10.6% through accidental damage. We found no current independent study to replace it.

Applied to 50 laptops, a 31% rate means about 15.5 incidents over three years. Roughly 10 would be hardware faults covered by a standard warranty, and about 5 would be accidents that a standard warranty does not cover. At the costs in the table, those incidents cost about S$3,056 with a spare pool, S$4,347 with next-business-day onsite repair, or S$12,610 if every repair is a week-long carry-in. The gap between the first and last is S$9,554 over three years. Two spare ExpertBook B1 laptops cost S$2,998 at today's listing price.

A laptop is cheap until it breaks. After that, what you pay depends on how fast someone can get back to work, and that is set by the warranty, the service type and whether you keep a spare.

Hourly cost = monthly pay × 12 ÷ 2,080 hours. Incidents = laptops × failure share. Wages only: overheads, lost sales, parts and repair charges are excluded, so real costs are usually higher. Illustrative estimate, not a quotation.

Where do cheap laptops hide their costs?

  • Service type, not just warranty length. "Two years" can mean carry-in or courier repair. Every in-stock ExpertBook at SourceIT lists 3 years of onsite next-business-day service, which is the second row of the table rather than the third. Read the terms on each quotation; see The Truth About Manufacturer Warranty.
  • Batteries. ASUS's support FAQ gives ExpertBook B and P series batteries 36 months of cover, against 12 months for its consumer notebooks. The in-stock ExpertBook listings match that 3-year battery cover.
  • Accidents. A standard warranty excludes drops and spills even on laptops that pass military-standard lab tests. ASUS says damage from replicating its tests "would be considered accidental and would not be covered by the standard ASUS warranty." UK insurer Ageas found spilled drinks caused 33% of laptop and tablet accidental-damage claims (Aug 2021). ASUS Business Support in Singapore lists first-year accidental damage protection for ExpertBook, with availability that "may vary"; ask us.
  • The years after the warranty. A Techaisle study commissioned by Microsoft and Intel (2018) found PCs over four years old were 2.7 times more likely to need repairs. Gartner expects businesses to keep PCs about 15% longer in 2026 because of memory-driven price rises (27 Feb 2026). Price a warranty extension before assuming the cheaper laptop is cheaper over five years.
  • Remote management. The Forrester study's 1.5-hour figure was the starting point that vPro remote management cut. If your IT team relies on Intel AMT, check that the exact processor is vPro, such as the Core Ultra X9 388H in the ExpertBook Ultra range.

How do you cut the cost of downtime?

Buy onsite cover for staff who can't work without their laptop. Keep one or two pre-imaged spares per 50 users. Store files in a cloud service so a swap takes minutes. Standardise on a few models so spares and chargers fit everyone. Buy accidental damage protection for staff who travel or work on site. Laptops with replaceable memory and storage, such as the ExpertBook B1 and P3 with two DDR5 SO-DIMM slots, are also easier to keep running into years four and five.

Frequently asked questions
