Overview

What is a Microsoft Teams Room?

A Microsoft Teams Room (MTR) is a meeting space with certified hardware — a camera, microphone, speaker and touch console — that joins Teams meetings with one tap. No laptop, no cables, no dial-in codes. Everyone in the room appears framed and audible to remote participants, and the room shows up in Outlook like any other bookable resource.

The hardware must be Microsoft-certified, and each room needs a Teams Rooms licence. SourceIT supplies both, sizes the system to your space, installs it, enrols it into your tenant and hands it over working.

Room sizing

Match the system to the space

The single most common mistake is over- or under-specifying the room. Here's what we recommend, and what it typically costs.

Room typeCapacityRecommended systemTypical hardwareFrom
Huddle / focus 2–6 pax Single all-in-one video bar, no expansion mics Yealink MeetingBar A10 · Poly Studio X30 · Logitech Rally Bar Huddle S$1,585
Medium meeting room 7–15 pax All-in-one bar + touch controller Yealink MeetingBar A40/A50 · Logitech Rally Bar + Tap IP · Poly Studio X52 S$3,490
Large room 16–30 pax Bar + expansion mics, or modular camera system Poly Studio X70 · Logitech Rally Plus · Cisco Room Kit EQ S$7,895

Decision guide

Teams Rooms on Windows vs Android

The question we get asked most. Here's the honest answer. Full guide: Windows vs Android →

Android

Recommended for most rooms — huddle to large
  • Lower cost — no separate room PC to buy or maintain
  • Faster deployment, fewer components, fewer failure points
  • Firmware and OS managed by the device vendor
  • Covers the vast majority of standard meeting rooms
  • Fewer peripheral options for complex AV
  • Limited for multi-camera or custom integration

Windows

For complex rooms and heavy customisation
  • Supports multi-camera, dual-display and advanced AV chains
  • Integrates with Crestron, Q-SYS, Shure ceiling arrays
  • Runs third-party apps alongside Teams
  • Preferred for boardrooms, auditoriums and training rooms
  • Higher cost — room PC required
  • More patching, imaging and lifecycle management

Our rule of thumb: if the room has one display and one camera, go Android. If it has ceiling mics, multiple cameras, or feeds into a wider AV system, go Windows. Not sure? Send us the room details and we'll tell you straight.

FAQ

Common questions

What's the difference between Microsoft Teams and Teams Rooms?

Teams is the app on your laptop or phone. Teams Rooms is a dedicated meeting-room system — certified hardware plus a room licence — that turns a physical room into a bookable, one-tap-to-join Teams endpoint. You need both.

Do I need a licence for every room?

Yes. Each Teams Room requires its own Teams Rooms Basic or Pro licence, assigned to a resource account. Basic is free for up to 25 rooms with limited features; Pro adds remote management, analytics, intelligent audio and advanced security. We'll advise which fits your estate.

How much does a Teams Room cost in Singapore?

Hardware starts from around S$1,585 for a huddle room and S$3,490 for a typical medium room, excluding GST, licensing and installation. Large rooms start from around S$7,895; boardrooms are quoted per site. Multi-room rollouts attract project pricing — send us your room list.

Can you install and configure it for us?

Yes. Our Singapore engineers handle mounting, cabling, network and tenant enrolment, testing and user handover. We coordinate with your IT team on the resource accounts and firewall requirements.

Can we buy through GeBIZ or Vendors@Gov?

Yes. SourceIT is a Singapore government-approved supplier and transacts via GeBIZ, Vendors@Gov, SAP Ariba, SESAMI, InvoiceNow and PEPPOL. We provide compliant quotations and e-invoicing for tenders and RFQs.

What happens if a device fails?

We coordinate the warranty claim and RMA with the manufacturer on your behalf. With extended cover (e.g. Logitech Select or Poly+), you get next-business-day replacement and 24/7 support.

Ready to scope your rooms?

Send us your room list and platform. Our specialists will size each space and quote it within 24 hours.
